2. Data collected

We collect the following:

Identification data that you enter:
• First name
• Email (optional — used to recognise you on return and send your report)

Data generated by your usage:
• Text or URL of the job offer you import
• Transcript of your voice interview
• Coaching report generated by our AI
• Recruiter choice, session duration

Technical data:
• IP address (security, abuse prevention)
• Connection logs (date, time, browser)
• Session cookie apply_candidate (encrypted token containing only your email, 30-day lifetime)

We collect no advertising data, no third-party trackers, no browser fingerprint, no geolocation.

3. Purposes and legal basis

Your data is processed to:
• Deliver the interview-coaching service (contract performance)
• Recognise you on return so you can retrieve your past interviews (legitimate interest)
• Improve the service quality in an aggregated, anonymous way (legitimate interest)
• Prevent abuse and ensure security (legitimate interest)

No processing is performed for commercial, advertising, or resale purposes.

4. Subprocessors and transfers

To operate the service, we use the following subprocessors:

• Anthropic (United States) — analysis of job text and generation of coaching report by Claude model
• VAPI (United States) — real-time voice call orchestration
• ElevenLabs (United States) — voice synthesis of the AI recruiter
• Deepgram (United States) — real-time transcription of your voice
• PayPal (European Union / United States) — payment processing when buying credits. PayPal policy
• tawk.to (United States) — live support chat. If you use the chat, your message and email address are processed by tawk.to. tawk.to policy
• OVH SAS (France) — server and database hosting

Transfers outside the EU to Anthropic, VAPI, ElevenLabs, Deepgram and tawk.to are governed by the European Commission's Standard Contractual Clauses. Your voice transcription is processed in real time and is not retained by Deepgram beyond the duration of processing.

5. Retention

• Identification cookie: 30 days from your last visit
• Interview sessions and reports: retained as long as your account is active. You can request deletion at any time via privacy@apply.coach.
• Technical logs: 12 months maximum
• Anonymised data: retained indefinitely for statistical purposes

6. Your rights (GDPR)

You have the following rights at any time:
• Right of access — get a copy of your data
• Right of rectification — correct inaccurate data
• Right to erasure — request deletion of all your data
• Right to object — object to processing
• Right to portability — retrieve your data in a structured format
• Right to withdraw consent — at any time

To exercise these rights, write to privacy@apply.coach. We will respond within 30 days maximum.

If you feel your rights are not respected, you may lodge a complaint with the CNIL (French data protection authority) — cnil.fr — or your national authority.

7. Cookies

We use a single strictly necessary technical cookie:

apply_candidate — AES-256 encrypted token containing only your email address. Used to recognise you on your next visit and retrieve your past interviews. Lifetime: 30 days. You can clear it at any time via "Sign out" on the dashboard, or via your browser settings.

If you open the support chat (tawk.to), it sets third-party cookies required for its operation (to track your conversation). These cookies are only set when you use the chat. See the tawk.to privacy policy.

No advertising cookies and no analytics cookies are set.

8. Security

Your data is stored on OVH servers located in France. Communications are encrypted in HTTPS (TLS 1.2+). Identification tokens (cookie, shareable URLs) are encrypted with AES-256-CBC. Passwords are not collected (cookie-email authentication).

9. Changes

This policy may be updated to reflect service or regulatory changes. The last-updated date appears at the top. In case of substantial change, we will notify you by email.
